Frequently Asked Questions

Discover the benefits of BriqSafe to revolutionise your workplace safety protocols.

About BriqSafe
What is BriqSafe?

BriqSafe is an end-to-end water safety and Legionella compliance platform. It combines risk assessments, control schemes, task management, compliance reporting, and AI-powered features in a single app, used by more than 19,000 active daily users across the UK, Ireland, and the Netherlands.

Who is BriqSafe designed for?

BriqSafe is built for water hygiene service providers, duty holders, facilities managers, and building owners across industries including healthcare, education, hospitality, social housing, and government. It suits both small operators managing a handful of sites and large organisations servicing thousands of buildings.

How long has BriqSafe been operating?

BriqSafe (formerly known as LegionellaDossier) has been the leading compliance software in the Netherlands and the United Kingdom for more than 10 years. The platform has processed over 34 million completed tasks and actively services more than 86,000 buildings.

Is BriqSafe available on mobile?

Yes. BriqSafe is available as a web app, mobile app, and desktop app. Field technicians can complete risk assessments, capture photos, record Bluetooth temperature readings, and check off tasks entirely on site — no desk needed.

Do I need technical experience to use BriqSafe?

No. BriqSafe is designed for water hygiene professionals, not IT teams. Risk assessment templates, control scheme workflows, and asset structures are built into the platform. If you need help getting started, our support team and onboarding service are available from day one.

Compliance & Regulations
Does BriqSafe comply with Real Decreto 487/2022 and RD 614/2024?

Yes. BriqSafe is designed to help installation owners and operators comply with the requirements of RD 487/2022 and its amendment RD 614/2024. The platform allows you to structure, document and manage both the Legionella Prevention and Control Plan (PPCL) and the Legionella Health Plan (PSL), with a complete record of all actions, dates and responsible parties.

Is Legionella risk assessment mandatory in Spain?

Yes. Since 2 January 2024, every installation at risk of Legionella pneumophila proliferation is required to have an implemented and up-to-date Legionella Control Plan (PPCL or PSL). Non-compliance can result in administrative sanctions of varying severity depending on the risk posed to public health.

Who is responsible for Legionella control in an installation?

According to RD 487/2022 as amended by RD 614/2024, the owner or operator of the installation is responsible for compliance. If the installation is managed by a person or company other than the owner, responsibility falls on the operator, unless it can be conclusively proven otherwise. BriqSafe allows all parties to understand their responsibilities and log every action in a fully traceable way.

How often should Legionella risk assessments be reviewed?

Risk assessments should be reviewed whenever there is reason to suspect they are no longer valid. Typically after significant changes to the water system, building use, or personnel. As a general industry standard, a full review every two years can be recommended. BriqSafe automatically tracks review dates and sends reminders before expiry.

Who is the responsible person for Legionella control?

The duty holder is the person or organisation responsible for the premises, usually the employer, building owner, or landlord. They may appoint a competent person to manage day-to-day control measures, but ultimate legal responsibility remains with the duty holder. BriqSafe gives duty holders real-time oversight of compliance status across every building in their portfolio.

Risk Assessments
How does the risk assessment module work?

Assessors complete the full risk assessment on site using the BriqSafe app. They can create AI-generated floorplans from a photo of a building plan, drag and drop assets onto the layout, capture photos, perform Bluetooth temperature checks, and apply structured templates to avoid repetitive data entry. Once complete, a structured, audit-ready report is generated instantly, with consistent scoring and terminology across every building.

Can I use my own risk assessment templates?

Yes. You can customise assessment templates to match your corporate identity and preferred methodology. Additional questionnaires can be added to extend the standard template. Every report can be branded with your own logo and styling.

Can I import an existing risk assessment or asset register?

Yes. You can upload an existing risk assessment, asset register, or logbook. BriqSafe AI can extract asset data, findings, and structured fields from uploaded documents and convert them into editable records. Users review and validate before finalising. A complete digital logbook is ready for immediate use.

How does BriqSafe save time on risk assessments?

BriqSafe customers typically save up to 50% of the time previously spent on risk assessment admin. Key time-savers include: AI-generated floorplans from a photo, room and asset duplication with one tap, on-site photo capture and Bluetooth temperature readings, AI-generated structured report summaries, and automatic task generation from risk findings.

Can I manage risk assessments across multiple buildings?

Yes. BriqSafe is built for multi-site portfolios. You can manage risk assessments across 1 building or 1,000, with portfolio-wide compliance dashboards, building-level risk summaries, and asset-level findings all in one place.

Control Schemes & Tasks
How do control schemes work in BriqSafe?

Risk assessments in BriqSafe automatically become the blueprint for your control scheme. Control measures are generated directly from risk findings, tasks are scheduled automatically, and every action is time-stamped and traceable to the specific asset. The result is a fully digital, always up-to-date logbook — no paper, no spreadsheets.

Can BriqSafe send reminders when tasks are overdue?

Yes. BriqSafe uses automated reminders and alerts to notify responsible persons when tasks have not been performed. Non-compliance is flagged immediately so action can be taken before a situation escalates.

Can I automate temperature readings in hard-to-reach locations?

Yes. Remote IoT sensors continuously measure and record water temperature and usage in your pipework. Data is sent directly to your BriqSafe environment, tasks are checked off automatically when requirements are met, and any non-compliance is flagged for action — all without manual visits to circulation systems behind ceiling panels or in crawl spaces.

Can external IoT sensors integrate with BriqSafe?

Yes. External remote IoT sensors — in addition to BriqSafe's own hardware — can be integrated via the open API. This includes sensors from third-party manufacturers, UKAS-accredited laboratories, and other systems used by partners.

AI Features
What AI features does BriqSafe include?

BriqSafe AI includes: AI-powered floorplan generation from a photo of any building blueprint, automated scheduling based on asset type and risk level, AI-generated risk assessment summaries that enforce consistent language and conclusions, and automatic follow-up task generation from non-compliance findings.

Does BriqSafe AI replace professional judgement?

No. BriqSafe AI supports your compliance workflows — it assists with importing, summarising, and task generation, but professional oversight and validation remain central. AI accelerates the process. It does not replace expertise.

How does AI improve scheduling across my estate?

BriqSafe AI analyses asset types, historical findings, and risk levels to recommend structured control frequencies. It identifies coverage gaps, flags inconsistencies, and strengthens alignment across buildings — making control regimes dynamic and evidence-led rather than static and manual.

Integrations & Data
What systems can I integrate with BriqSafe?

BriqSafe connects with CAFM, IWMS, FMIS, and CRM platforms, as well as UKAS-accredited laboratories, IoT sensors, hotel booking systems, and many more. Integration is available via open API and a growing library of native connectors.

Who owns the data stored in BriqSafe?

You own your data. BriqSafe acts as the platform that hosts and manages it on your behalf, in the same way a painter decorates your wall, but the wall remains yours. Full details are available in our Terms of Service.

Is my data secure in BriqSafe?

Yes. All data, including AI-processed documents and sensor readings, operates within BriqSafe's secure compliance environment. Access is governed by your organisation's permission settings. Full details are outlined in our Platform & Client Data Security policy.
